At VinaTap Vietnam, we are committed to providing seamless global trade operations, transparent logistics, and rigorous quality assurance for our international agricultural distributors, greenhouse operators, and commercial importers across more than 30 countries. Below is our official international policy regarding shipping terms, container loading, product quality warranty, and dispute resolution.
1. International Shipping & Delivery Policy
- Incoterms Supported: We primarily operate under FOB (Free on Board - Ho Chi Minh Port), alongside CFR (Cost and Freight) and CIF (Cost, Insurance, and Freight) terms tailored to your destination port requirements.
- Production & Dispatch Lead Time: Standard container production lead time ranges from 7 to 15 business days following order confirmation and deposit receipt, depending on order volume and custom packaging specifications.
- Container Loading & Palletization: All products (compressed blocks, loose bags, grow bags, and husk chips) are hydraulically pressed, shrink-wrapped, and securely stacked onto heat-treated wooden pallets compliant with ISPM 15 standards to ensure safe maritime transport.
- Shipping Documentation: Every container shipment is dispatched with a full set of compliant export documents, including Bill of Lading, Commercial Invoice, Packing List, Certificate of Origin (CO Form D), Phytosanitary Certificate, Container Fumigation Certificate, SGS Laboratory Test Report, and Vinacontrol Inspection Certificate.
2. Quality Assurance & Product Warranty Policy
- Quality Commitment: VinaTap guarantees that all exported coco coir substrates strictly adhere to agreed technical specifications, including Low EC (< 0.3 to 0.5 mS/cm), stable pH (5.8 to 6.8), correct moisture content, and heavy-metal-free safety leached with Calcium Nitrate buffering.
- Pre-Shipment Inspection: Importers have the right to request independent third-party pre-shipment inspections (such as SGS or Vinacontrol) at our factory or port of loading prior to final balance payment.
- Organic Compliance: Our manufacturing processes are certified under OMRI Organic standards (Code VTV-21141) and GACC regulations, assuring complete safety for international organic agriculture.
3. Claims, Returns and Dispute Resolution Policy
Due to the nature of bulk international agricultural exports across long sea voyages, physical returns of container-load goods across borders are generally impractical. Instead, VinaTap enforces a strict international claim and discrepancy resolution procedure:
- Claim Notification Period: Any claims regarding cargo damage, quantity discrepancies, or specification mismatches must be formally submitted in writing within 14 calendar days of container arrival at the destination port, accompanied by official port discharge reports and photographic/video evidence.
- Third-Party Inspection: In the event of a quality dispute, an inspection report issued by a recognized international surveyor (such as SGS or equivalent at the destination port) shall serve as the primary basis for technical evaluation.
- Resolution & Compensation: If a substantiated defect or discrepancy is verified to originate from factory manufacturing or packing errors, VinaTap will offer mutually agreed commercial remedies, such as credit notes for future orders, replacement shipments, or financial compensation proportional to the affected volume.
- Exclusions: Claims resulting from improper container unloading, severe maritime weather damage covered by marine insurance, or incorrect on-site storage conditions at the destination will not be covered under factory warranty.
